An updated version of the Get Information about Schools (GIAS) service has been released to all users. You do not need to take any specific action unless otherwise indicated below.
This release includes the following improvements:
- bug fixes and fine-tuning to improve the overall user experience, including:
- amend references of Find School and College Performance to Compare School and College Performance
- for those who use the bulk update governance template the addition of two new columns: original chair of trustees and original signatory member have been added. These are for a new group type that is being added to GIAS and is not applicable to existing establishments or groups that have governance

2. Establishment users – email addresses
The main establishment email address field and the alternative establishment email address field (if applicable) must contain an up-to-date, valid, and actively monitored email address. There should be no personal establishment email address or personal email address added to these fields.
The headteacher email address field must contain an up-to-date, valid, and actively monitored work email address for the headteacher/principal/manager (as applicable).

The yearly update of data from the underlying data of the schools, pupils and their characteristics statistical publication has now been completed.
The fields that were updated are the:
- total number of pupils
- total number of boys
- total number of girls
- number of pupils eligible for free school meals (FSM)
- percentage of children eligible for free school meals (FSM)
2. Yearly update of data from the school level annual school census (SLASC) for independent schools only
The yearly update of data from the school level annual school census (SLASC) data collection independent schools only has now taken place.
The fields that were updated (where applicable) are:
- street
- locality
- address3
- town
- county
- postcode
- establishment name
- head first name
- head last name
- head title
- number of pupils
- number of special pupils under a special educational needs (SEN) statement/education, health and care (EHC) plan
- number of special pupils not under a special educational needs (SEN) statement/education, health and care (EHC) plan
3. Changes to the Ofsted rating field for inadequate rating
We will soon be implementing the following changes on the Ofsted rating field where the Ofsted rating currently shows as:
- 'Special Measures’ it will be replaced with ‘Inadequate (special measures)’
- 'Serious Weaknesses’ it will be replaced with ‘Inadequate (serious weaknesses)’
The Ofsted rating code field will remain the same (i.e. SM for special measures and SWK for serious weakness).
4. Establishment users – email addresses
The main establishment email address field and the alternative establishment email address field (if applicable) must contain an up-to-date, valid, and actively monitored email address. There should be no personal establishment email address or personal email address added to these fields.

An updated version of the Get Information about Schools (GIAS) service has been released to all users. You do not need to take any specific action unless otherwise indicated below.
This release includes the following improvements:
- Bug fixes and fine-tuning to improve the overall user experience, including:
- countries should not be listed in the county field
- remove link to any single-academy trust (SAT) pages on Find and Check the Performance of Schools and Colleges in England in the "Data from other services" section to reflect changes made on this service
- fix to stop non-children's centres establishment types being added to children’s centre groups
- error message is now displayed when there is no change made in the edit federation group page and save is selected
- remove button is now only needed to be selected once to remove a pre-defined local authority set
- create a federation process pop up to remind users to update establishment governance when creating a federation
- GIAS support team can now edit data owner contact details on service for status page
- add a new field for the online providers establishment type only called accreditation expiry date
- status of pending approval is now default on creation of an online provider establishment type record and can now be selected for online providers when editing by DfE team

The update as noted in the news release on 03/03/2023 has now taken place.
The three digit Get Information about Schools (GIAS) local authority (LA) code number
The Get Information about Schools (GIAS) three-digit local authority (LA) code number for the establishments at the following status have been updated to reflect the new local authority:
- proposed to open
- open
- open, but proposed to close
The below table sets out the new GIAS three-digit local authority (LA) code number for the two new Cumbria local authorities:

The Department for Education (DfE) number (also known as the local authority (LA) establishment (estab) number) has changed for any establishments at the above-mentioned status. This is because it is made up of the GIAS local authority (LA) code number (the first three digits) and the establishment number (the last four digits). As the local authority (LA) code number has changed this will be reflected in the DfE number.
For example, 909 1234 will have become either 942 1234 or 943 1234 depending on the new local authority the establishment is assigned to.
The establishment (estab) number (the last 4 digits) has not changed.
The geospatial and location data
Some of the underlying geospatial and location information from the Office for National Statistics (ONS) has been updated on the GIAS service.
The following fields have been updated and reflect the new local authorities:
- local authority name
- GIAS local authority (LA) code number
- DfE number
The following fields have had X999999 added to them until the Office for National Statistics (ONS) publish their revised data, which will reflect the changes to Cumbria, and it can be uploaded into GIAS:

We have made the local government reorganisation changes from 4.00pm on Friday 31st March, therefore the changes to Cumbria and the addition of two new local authorities will be included in the downloads and extracts for 1st April.
DfE Sign-in (DSI)
Anyone from the new Cumbria local authorities and establishments who uses DfE Sign-in (DSI) to access GIAS will not be able to do so until 1.00pm on Monday 03/04/2023.
If there is going to be a delay a banner will be added to the DSI site and the public version of GIAS with an update.

Background
Following the Cumbria (Structural Changes) Order 2022 (opens in new tab) the existing Cumbria county council local authority (LA) will cease to exist on Friday 31/03/2023 and will be replaced with the following two new unitary local authorities:
- Cumberland
- Westmorland and Furness
on Saturday 01/04/2023.

When will the changes be made?
Currently we are planning to start to make the changes from 4.00pm on Friday 31/03/2023. We advise all establishment users to have completed any updates in the system they need to before 2.00pm on Friday 31/03/2023.
Changes made to GIAS are reflected in the following day's downloads and extracts, for example, changes made on 1st May will be included in the downloads and extracts of 2nd May. We are making the local government reorganisation changes from 4.00pm on Friday 31st March, therefore the changes to Cumbria and the addition of two new local authorities will be included in the downloads and extracts for 1st April.
DfE Sign-in (DSI)
Anyone from the new Cumbria local authorities and establishments who uses DfE Sign-in (DSI) to access GIAS will not be able to do so until 1.00pm on Monday 03/04/2023.
If there is going to be a delay a banner will be added to the DSI site and the public version of GIAS with an update.
